Venue Event Manager vs Wedding Planner: What’s the Difference?

One of the first steps of wedding planning is securing a venue. Many venues offer an in-house event manager or coordinator, but what’s the difference between the venue-provided event manager and a wedding planner?

While both roles are crucial to a successful wedding, a venue manager and a wedding planner have completely different jobs. Relying on a venue manager to run your entire wedding day is one of the most common mistake couples make. Let’s break down who does what so you can plan with confidence.

The Core Difference

  • The Venue Manager protects and manages the venue. Their priority if the physical property and their staff.

  • The Wedding Planner (me!) protects and manages you. My only priority if your vision, your timeline, your vendors, and (most importantly) your peace of mind.

To show you exactly how our responsibilities divide on a typical wedding day, here is a quick breakdown of who handles what:

Task/Scenario Venue Manager Wedding Planner
Ensuring the venue's lights, AC, and restrooms work Yes No
Answering questions from your caterer, DJ, or florist No Yes
Pinning boutonnieres or fixing a ripped dress bustle No Yes
Managing the venue's internal kitchen or bar staff Yes No
Creating and executing the minute-by-minute timeline No Yes
Ensuring your personal items, gifts, and decor get safely packed up at the end of the night No Yes

What a Venue Manager Actually Does

Don’t get me wrong, venue managers are crucial parts of a successful event, and I love working alongside them, but their scope of work is strictly tied to the property. On your wedding day, they ensure the space is clean, the tables are set up according to the floor plan, and the venue rules are followed. If a glass is broken or you need an extra easel, the venue manager is your hero. However, if your DJ is running late or your cake vendor is a no-show, the venue manager cannot step in to help.

What I Do as Your Wedding Planner

When you hire me, I’m with you through every potential scenario that may occur. I don’t just care about things happening on time (although I care about that quite a bit), I care about your wedding-day experience.

  • Before the wedding: I will review your vendor contracts, build a seamless timeline, coordinate arrival times, and make sure your design elements tie together.

  • On the wedding day: I am your eyes, ears, and hands. I cue the DJ when it’s time for you to walk down the aisle, ensure your vendors have everything to do their jobs successfully, handle all emergencies behind the scenes, and make sure you actually get a chance to sit down and eat your dinner.

Do I Need Both?

Think of it like a restaurant. The venue manager is the head chef, making sure the kitchen is running and dishes are coming out in a timely manner, while the wedding planner is your waiter or waitress, focused on your experience and ensuring the front-of-house looks presentable.

Having an amazing venue manager is a massive perk, but they are not a replacement for a dedicated wedding planner who has your back from start to finish.
